Organising your fundraising activity or event
- If you are under 18, you confirm that you have shown these terms and conditions to your parent or guardian, and they have agreed to accept responsibility for complying with them.
- You will comply with our policy that children must not raise funds without appropriate adult participation in any activities involving public collections or events that may be dangerous for children.
- Your fundraising activity or event is organised independently by you. Mental Health UK accepts no responsibility or liability for the organisation, management or safety of your activity or event.
- You are responsible for ensuring the health and safety of everyone involved in your activity or event.
- You are responsible for ensuring that any relevant licences, permissions or permits required for your activity are in place, including those relating to food hygiene where applicable.
- If alcohol is present or served at an event you are hosting, you agree to follow all relevant licensing laws, including appropriate age verification and responsible consumption measures.
Fundraising
- You will only use lawful means to fundraise for Mental Health UK and will not do anything that could bring the charity’s name into disrepute. You will also observe the following fundraising rules:
- Unless Mental Health UK has provided you with branded materials, you must not use the Mental Health UK name, logo or any associated branding without first obtaining permission from Mental Health UK. Any materials produced in connection with your fundraising activity, whether printed or online, may require approval.
- You must make it clear to sponsors and supporters that you are fundraising “in aid of” Mental Health UK and that any money raised will be sent to Mental Health UK as a donation.
- You will be responsible for any costs, taxes or expenses incurred in connection with your fundraising activity. Mental Health UK will not incur any cost, claim, loss or liability.
- You acknowledge and accept that Mental Health UK’s insurance policies do not cover independent fundraising activities. Where appropriate, you should arrange your own insurance and ensure that any contractors or external venues used can provide evidence of appropriate public liability insurance (minimum £1,000,000 cover).
- Mental Health UK reserves the right to ask you to stop your fundraising activity if it believes the activity may damage the charity’s reputation or does not comply with these terms and conditions.
- You must contact Mental Health UK before conducting any raffle, lottery or public collection to ensure it complies with relevant legal and regulatory requirements.
- You must obtain approval from Mental Health UK before approaching press, media outlets or celebrities to support or promote your event.
- You must secure the necessary permissions before undertaking street collections or collections on private property. House-to-house collections are not permitted.
Monies
- You agree to send all proceeds raised from your fundraising activity to Mental Health UK as soon as possible after the event and in accordance with the payment guidance on the Mental Health UK website: https://mentalhealth-uk.org/donate/how-to-pay-in-fundraising/
- You will take responsibility for the safe keeping of money raised in Mental Health UK’s name. If collecting cash, the amount should be counted in the presence of at least one witness.
- If using sponsorship forms, you must send Mental Health UK the completed forms, including the names and addresses of sponsors and the amounts donated or pledged, no later than four weeks after the event.
- You will ensure that donations of £20 or more made by cheque are payable to Mental Health UK and sent to Mental Health UK, 28 Albert Embankment, London, SE1 7GR.
- If using sponsorship forms, only forms issued by Mental Health UK should be used. Use of any other sponsorship form must be agreed with Mental Health UK in advance.
- You should encourage donors and sponsors to complete Gift Aid declarations where eligible, which may enable Mental Health UK to recover basic rate tax on donations.
- You must keep sponsorship and donation forms confidential and not disclose personal details, including addresses, of sponsors or donors to anyone else.
- If you collect personal information from anyone who donates or contributes to your fundraising activity, you must ensure that the data is handled in accordance with data protection legislation and protected from loss or unauthorised access.
- You must notify Mental Health UK at the earliest opportunity if you need to withdraw from or cancel your fundraising activity and immediately stop using any materials containing the name, logo or branding of Mental Health UK.
Data and consent
- By registering your fundraising activity, you consent to Mental Health UK contacting you by email or phone regarding your participation, including communications to support your fundraising.
- Mental Health UK may also contact you from time to time to inform you about the impact of your support and other ways you can help. You can opt out at any time by emailing events@mentalhealth-uk.org. Please see our privacy policy for further details.
- Your personal information may also be used for the purposes of sending you information about the charity’s work.
- You consent to Mental Health UK storing the personal details you provide on its database. Please see our privacy policy for further details.
- You consent to Mental Health UK using any digital photographs or videos you provide to raise awareness of or funds for the work of Mental Health UK. If you do not wish your image to be used, please contact events@mentalhealth-uk.org.
- By sending photographs or videos to us, you confirm that anyone featured prominently is aged 16 or over and has consented to their image being used in this way.
- If donations are matched by an employer or organisation, permission must be obtained from Mental Health UK before the organisation uses the charity’s name, logo or story for promotional purposes.

Extreme Energy WaiverTerms and Conditions (to be agreed on completion of booking)
This event by its very nature is hazardous and contains certain inherent risks. The race is run over land to which the public has free access and over which we, the race organisers, have no control and which is subject to normal hazards to be expected on such a trail, e.g. partially or fully exposed tree roots, overhanging branches, uneven or loose ground, non-participants, dogs, livestock, horses, mountain bikers etc.
Participants are responsible for their own safety. It is the participant’s responsibility to ensure that they are physically capable to start an event of this distance and terrain. Participants should contact their own doctor if they are uncertain on this point. In the event of injury or illness, medical cover is provided but participants are reminded that the taking of any medication they bring to the event is done so at their own risk.
By agreeing to these conditions the participant accepts that they enter this event at their own risk and accept that the event organisers and their employees are not liable for any loss, damage claim, expense, injury or accidents which may arise as a consequence of the participant’s negligence in this event, including the taking of any medication not authorised or administered by the event medical team.
Participants agree to run with care and attention, abiding by the rules of the event.
Participants agree to attend the compulsory briefing for all competitors which the event organiser will give prior to the start of each day.
WaiverI understand that participating in this event is potentially hazardous, and that I should not enter and participate unless I am medically able and properly trained. If you have any doubt about your medical condition you must consult a doctor. If you are over 50 years of age we recommend you consult a doctor before competing. Current medical history and medications or allergies must be notified to the organisers at the time of booking and the personal medical section on the rear of the race number completed prior to the start.
In consideration of the acceptance of this entry, I assume full and complete responsibility for any injury or accident which may occur while I am travelling to or from the event, during the event, or while I am on the premises of the event.
I also am aware of and assume all risks associated with participating in this event, including but not limited to falls, contact with other participants, effect of weather, traffic, and conditions of the road. I, for myself and my heirs and executors, hereby waive, release and forever discharge the event organizers, sponsors, promoters, Extreme Energy Ltd and each of their agents, representatives, successors and assigns, and all other persons associated with the event, for all my liabilities, claims, actions, or damages that I may have against them arising out of or in any way connected with my participation in this event.
In a situation where the medics recommend that it is unsafe for a competitor to continue their decision is final. Competitors cannot continue as part of the event against medics advice.
I understand that this waiver includes any claims, whether caused by negligence, the action or inaction of any of the above parties, or otherwise.
Media ReleaseI hereby grant full permission to any and all of the above parties to use any photographs, videotapes, motion pictures, website images, recordings or any other record of this event.
Age LimitsNormal age limits will be, over 18 years and under 75 years.
Modification of the course.The organisation reserves the right to modify at any moment the route. In the case of unfavourable weather conditions the start may be postponed by a maximum three hours, after that time, a day of the race maybe cancelled.
In the case of severe weather conditions, and for reasons of safety, the organisation reserves the right to stop the event under-way.
